Before implementing Builders Patch, CCRC’s deal management workflow was spread across multiple disconnected tools. CCRC’s underwriting workflow relied on a patchwork of Excel models, Word-based credit memos, separate checklist tracking, and email-driven document exchange. As transaction complexity increased, this fragmented infrastructure created operational drag and limited scalability.
Documents sent by developers were collected manually, organized into shared drive folders, and uploaded to checklists on a weekly cadence — a process that was slow, error-prone, and difficult to scale.
“Our deal management was pretty manual and a little bit fragmented. We had underwriting models in Excel, credit memos in Word, checklists tracked separately, and a lot of our documentation was via email.” –– Jennifer Quevedo, SVP Loan Originations, CCRC
For the Loan Administration team, the situation was equally constrained: the team was working almost entirely off of Excel and Outlook. Developers had no visibility into deal progress except for weekly checklist emails, and staff spent significant time simply locating documents.
“I remember I would spend way too much time just looking for a document. But now I can clearly see if we have it, or if we don’t.” –– Hakop Kerimyan, Loan Originations Analyst, CCRC
Several factors distinguished Builders Patch from alternatives. CCRC valued the platform’s deep familiarity with LIHTC and permanent financing structures, as well as its adoption by other mission-aligned organizations in the affordable housing community. Critically, the team was drawn to the platform’s flexibility and the Builders Patch team’s willingness to customize it to CCRC’s specific workflows. Unlike generic CRMs or document storage systems, Builders Patch was purpose-built for LIHTC and multifamily permanent financing workflows, aligning directly with CCRC’s underwriting and compliance requirements.
“One of the things that helped me advocate for getting this implemented was really how customizable it was for us — the flexibility and really allowing us to use it as much as we can.” –– Jennifer Quevedo, SVP Loan Originations, CCRC
“You guys are in what I call the software sweet spot. You are not so large where moving the ship takes a long time, and you are not so small that you don’t have the capacity or resources to roll things out.” –– Michelle Kille, Consultant to CCRC, AHK Advisors
The most immediate operational impact came from shifting document intake from manual email collection to structured, borrower-driven uploads within Builders Patch. This eliminated repetitive administrative handling and materially reduced non-credit workload.
“Having the developer upload directly to Builders Patch is what saves the most time for our team — probably 70% time saving specifically for the due diligence process.” –– Kyle Kerley, Sr. Loan Administration Specialist, CCRC
“Builders Patch has significantly streamlined our process for collecting due diligence documentation from developers. Developers can log in, upload files directly into the appropriate sections, and add remarks as needed—all in real time. Loan Administrators receive immediate notifications when new documents are uploaded, allowing them to review and provide feedback more quickly. As a result, questions and comments are addressed with greater efficiency and speed. I also like that data points can be linked so one would only input data once and it would be inputted into other areas without having to re-input which eliminates errors.” –– Maria Bassett, VP Loan Administration, CCRC
Beyond raw time savings, the shift to a live checklist fundamentally changed how CCRC communicates progress to borrowers. Rather than waiting for a weekly update email, developers now log in to see real-time status changes as they happen.
E-signatures brought a similar leap forward in the credit memo approval workflow. Previously, memos were routed by email and approvals had to be saved as email records. Now, signatures are embedded directly in Builders Patch with automatic timestamps.
“With Builders Patch, because the signatures are directly in the platform, we have a timestamp and evidence that it was signed and when it was approved. It’s kind of like a two-for-one.” –– Jennifer Quevedo, SVP Loan Originations, CCRC
CCRC found that Builders Patch stood out from their competitors with the ability to integrate with the organization’s underwriting model and have those data points propagate across the system. Working with the Builders Patch Implementation Team, CCRC aligned on an Excel proforma template that can be uploaded seamlessly to the Builders Patch platform, including updated data points in checklists, reports, analysis and checklist fields. This standardization translates into less manual cell editing, and fewer opportunities for user error and confusion between versions.
The improvements extend beyond CCRC’s internal team. Developers and external partners experienced a streamlined experience, working with CCRC’s model, integrated with Builders Patch. Additionally, they have noted the platform’s professionalism, with several unprompted expressing positive feedback directly to CCRC staff.
“A few of our clients have said how much they love Builders Patch. They think it looks very professional, they like how centralized it is, and they like that they can check in any time. It makes us appear more forward-thinking.” –– Kyle Kerley, Sr. Loan Administration Specialist, CCRC
Jennifer and her team see Builders Patch not just as an efficiency tool, but as the infrastructure for CCRC’s future growth. Templatized forms, customizable proforma models, linked data fields, and embedded training instructions have reduced inconsistency and made onboarding new staff significantly easier.
“It transformed our process from fragmented to more centralized, and with that centralization, we’re going to be able to scale. That to me is really important as we think about new programs and initiatives.” –– Jennifer Quevedo, SVP Loan Originations, CCRC
As document volumes increase and third-party reports grow more complex, CCRC sees AI-powered document parsing and summarization as the next phase of operational leverage. The CCRC team is eagerly anticipating upcoming AI features, particularly document summarization for complex third-party reports.
“A lot of what I do is going in and summarizing market studies, appraisals, and environmental reports. If I’m able to just attach a file and it already knows what to look for and summarizes it — that saves a lot of time.” –– Hakop Kerimyan, Loan Originations Analyst, CCRC
Jennifer also sees potential in AI-generated executive summaries, noting that condensed credit memos currently require significant manual work that AI could streamline. Embedded AI will allow CCRC’s credit professionals to spend more time on judgment and structuring — and less time on manual synthesis.
